Policies, Regulations, Terms & Conditions
Because minimum night stays and specific turn dates are required for many of our vacation rentals, we must personally review each online reservation for valid parameters before confirmation. Dune Allen Realty will contact you during normal business hours to confirm your reservation.
Reservations are encouraged and accepted up to one year in advance, and are accepted on a first-come, first-serve basis. You must be age 25 or older to make a reservation. There must be 1 adult (age 25 or older) per 3 people under the age of 25 staying in the unit at all times. We reserve the right to make inspections and request ID for verification purposes. All violators of this policy will be evicted immediately and all rental payments will be forfeited.
Reservation Deposit / Service Fee:
A reservation deposit will be required upon reservation confirmation. The amount of deposit required includes thirty-five percent (35%) of the total rent, fees and applicable taxes. The fees include a departure Housekeeping Fee, a non-refundable Accidental Damage Fee for accidental damages up to $1,000 (see details under “Damages” heading below) and a non-refundable Administration Fee. Please note that fee amounts vary upon property. A travel protection policy (see details under “Travel Protection” heading below) is recommended and is optional. The balance of your reservation is due 14 days prior to arrival. We accept cash, traveler’s checks, bank cashier’s checks, personal checks with proper ID and credit cards (Master Card, Visa, e-checks). All account information is encrypted and secured for your protection.
Travel Protection Insurance:
Dune Allen Realty has partnered with Red Sky Travel Insurance to provide Sun Trip Preserver® coverage for our guests. Sun Trip Preserver provides cancellation and interruption services as well as emergency assistance and travel services. The travel insurance is optional and the cost is 7.0% of your total reservation stay. Please understand that Dune Allen Realty will at no time provide any refunds for any reason, and that the only refunds available are those through the Sun Trip Preserver coverage provided by Red Sky Travel Insurance. All rental rates and non-refundable service and damage fees are subject to Florida state and local sales taxes.
For the registered guest of a Dune Allen Realty Vacation Rental, the Accidental Damage Fee pays up to $1,000.00 for accidental damages that might occur to the rental unit or its contents during your stay, provided that any accidental damages are immediately disclosed to Dune Allen Realty’s management staff. The Accidental Damage Fee does not pay for damages resulting from smoking, pets, willful misconduct, or gross negligence. The Accidental Damage Fee does not pay for theft of any items belonging to the rental unit or theft or damage of any property owned by or brought into the unit by the guests of that rental unit. The Accidental Damage Fee does not pay if damages are not reported promptly to Dune Allen Realty. A credit card number will be held and the credit card charged should any accidental damages occur which exceed $1,000.00. Any damages that might occur that are not paid under the Accidental Damage Fee guidelines of Dune Allen Realty will be charged to the credit card on file for your stay. Dune Allen Realty will make a complete inspection of the property before your arrival and after your departure. We ask all guests to treat their rental property with good care.
Once your reservation deposit has been received, there will be no refunds given unless you have purchased the Sun Trip Preserver coverage provided through Red Sky Travel Insurance. There will be absolutely no refunds given by Dune Allen Realty, Inc. at any time. However, Dune Allen Realty must be immediately notified by you of your cancellation. In the event you must cancel your reservation, and you have purchased the Sun Trip Preserver coverage, you must contact Red Sky Travel Insurance c/o Arch Insurance Services by visiting www.SunTripPreserver.com or by calling 866-889-7409 to begin your claim.
A $100 fee will be charged for any change of date made to a reservation after the reservation has been confirmed. A change of date will only be allowed up to 60 days prior to arrival date and the new stay must take place within the same calendar year of the original arrival date. At no time will a change of date result in a lower rate. At no time will a change of date result in a refund.
Unavailability of Accommodation:
In rare cases beyond our control, some vacation rentals may become suddenly unavailable due to unforeseen circumstances, i.e. residence sold, removal from our rental program, acts of nature, mechanical failures. If so, and in the case of a confirmed reservation, you will be notified immediately. Be assured that we will make every effort to substitute a comparable property. If a comparable property is not available at the time of your reservation, you will have the option of selecting from available properties at the published rate. Your complete satisfaction is a priority to us.
Refunds for Mandatory Hurricane Evacuations are only given via purchasing the Sun Trip Preserver coverage provided by Red Sky Travel Insurance.
Check-in begins after 4:00 p.m. central time and can be as late as 7:00 p.m.. If unit is delayed due to unavoidable circumstances, there will be no discount given due to a later than normal check-in. Should you require an early check-in, please call and make arrangements – we will do our best to accommodate you. If you expect to arrive after 5:00 p.m., our office will be closed and your check-in packet will be available to you in the lockbox located outside on the front porch of our office. The code for the lockbox can be found in your confirmation letter.
Check-out time is by 10:00 a.m. central time. Late check-out may be available for an additional fee. All keys must be returned upon check-out. A lockbox is available at Dune Allen Realty for keys returned before 8:00 a.m.
Dune Allen Realty and its vacation property owners can neither predict nor control house or road construction work in the South Walton area and therefore cannot be held responsible for any inconvenience due to nearby construction. If your vacation home is near an ongoing construction site, and you experience a problem, please let us know and we will ask the contractors to be extra considerate. Unfortunately, Dune Allen Realty cannot offer refunds or accommodation moves due to construction noise.
Dune Allen Realty makes every effort to make sure your vacation is completely hassle free by keeping each vacation property and its mechanical equipment in top condition. However, we cannot predict when a mechanical problem might occur. Should you experience a problem, we will make repairs as soon as possible. No refunds or rate adjustment will be provided at any time for mechanical failures (air conditioning, heating, television, internet, kitchen appliances, power outages), pest intrusion, weather conditions, or any condition beyond Dune Allen Realty’s or its vacation property owners’ control.
We have several pet friendly properties. A maximum of two trained pets are permitted in the pet friendly properties. A $200 non-refundable pet fee will be required for pet stays. Pet owners will be held financially responsible for any damage or additional cleaning that may be necessary due to pets. Dogs are not allowed on the beaches without a special permit from Walton County.
Keys to the rental properties must be returned to Dune Allen Realty upon check-out. There will be a $25 charge for any key that is not returned.
In case of an emergency, please call 911. Dune Allen Realty offers a 24-hour on call service for non-medical, non-hazard assistance.
Occupancy Rules and Regulations:
